Why so many things go wrong?
The software business differ quite a lot from many other businesses.
The problems are similar to other areas (eg keeping timetables,
quality of results, and exceeding costs), but the solutions differs.
It has long been known that developing processes and measuring
performance is more important in the software design field than in other
fields. Today most companies have developed and documented their
procedures, however these documented models are not followed properly.
Developing processes is fairly simple, but taking them into use in an
organization is painful and laborious. The documentation is 'gathering
dust' in the intranet unused or in little use. Some individuals have
assimilated the procedures and makes their best effort to follow them,
others simply don't care. Processes often brings lots of
'bureaucratic' overhead and they are not considered useful, 'there is no
time to follow them'. Since taking even simple processes into use will
often fail, no effort is made to develop more sophisticated procedures.
Improving processes is also difficult if activities are not measured
and all knowledge is only 'gut feelings'. Only a few companies
measures even projects, not to speak of the much more important
measurement of processes. Collecting measurement data manually is very
laborious, and the quality and the reliability of the data is poor.
The data is not up-to-date. There are no tools automating these
measurements, and the few measurements that are done are done manually using
spreadsheets or other simple tools for storing the measurements.
Projects have often situations where after one task several other
tasks should be performed (eg when a developer have corrected
a bug, the bug should be marked corrected, the consequences should be
documented, the fix should be tested). Because these actions
depends on the individual to remember these actions, and on the
individuals professional abilities, every now and then something
important will not be done. How can a person responsible of a
business, who usually is not a software professional, be certain that
everything is OK? How does a project manager know what has been
undone? How does a salesman know, when a customer suddenly calls, what
the current status of the project is? Microsoft, IBM, Eclipse and
others offers tools for project and team management, but they can
never solve these problems because they are tools for the
developer and the project manager. Other parties (like sales,
customers, quality assurance etc.)
cannot use them. Everything depends on everything.
The software business also have a lot of activities not very important
in other businesses, eg knowledge management and time management. There
are very few applications for these needs. Bigger companies tailor for
these purposes expensive and stiff applications, possibly using
production management solutions. Medium sized and small companies use
manual systems or different, incompatible tools, possibly
self-developed simple applications. No kind of communities or social
networks are
supported. Knowledge does not grow. Cobblers' children have no shoes.
Something ought to be done.
The problems are often culminated on three issues:
implementations, personnel, and customers.
Implementations
If your company already have excellent tools for developers, the most
modern agile development methods are used, and the personnel is well trained, how
to proceed? Some fine adjustments can always be done, but how to take
a giant leap forward? How to get substantial improvements to quality,
cost levels and schedule solidity? It does not help if the developers
can create really good software, if the software does the wrong things.
The only known method (which is rarely used in software companies) is
to automate work, and in this case, work planning. Tools are needed to
automate intellectual work:
- a tool that would tell what should be done (so we do the right
things)
- a too that measures what we do (so we know where we are and what
can be improved)
- a tool that checks that everything has been done (so we can take
corrective actions)
Automating work in software companies is difficult, and there has not
existed any tool that could do it. Doing it manually is far too
expensive, tedious and time consuming to do it even in small scale.
But now we have a tool that does all this, and does it well! Processes
can be followed without increasing the work amount!
Personnel
Problems or issues are usually in the fields of personnel know-how,
motivation and commitment, turnover, and recruitment difficulties.
Even if a company has a well organized personnel management, a giant
leap cannot be taken without automating work.
Traditional existing personnel management tools are tools mainly for
financial administration, and rarely helps in the issues mentioned.
Developers usually appreciate good development tools, good work
practices, good project management and top notch professional actions.
All bureaucracy away, and 'boring' but necessary matters as easy as
possible (time sheets, performance reviews etc.). The wishes of the
personnel must be taken into consideration, and training must be
oriented correctly, instead of training something that is not needed.
Spreadsheets and text documents are a bad starting point for
automation, a specialized tool is needed.
Customers
Customers very often experience having insufficient information, not
being understood, or that software delivered to them did not meet
their expectations, became too expensive, or was delivered late.
Communication is essential. Various workflow-applications are good
tools for transferring the information itself, but do not help in
producing relevant information. Producing important information
manually cannot be done, is error prone and expensive. Traditional CRM
(customer relationship management) applications are merely a register
and does not link to projects done for a customer, and does not
produce information relevant to the customer. Also here, what is
needed is an integrated tool generating automatically relevant
information.

What it is
|
| The tool for
Scrum, CMMI, CRM, HRM, and
best practices. The Guide - enjoy a
rocket-like growth in productivity! |
The Guide is Task Trimmer's
comprehensive software product management automation. It automates Your business activities. It is like a compass that
directs software development activities to systematic and sensible directions.
The Guide provides tools for people
working in projects and reports for the
managers. It automates things never automated before. It is the only
system available that can get You substantial improvements to quality, cost levels and schedule solidity.
The Guide is intended for companies involved in software development, consulting, subcontracting, or
offers software professionals for others to use.
According to numerous studies the more software activities are systematized, the more benefits are gained.
Less errors, better timetables, and improved results.
The Guide incorporates several types of software into one system,
among others ERP (Enterprise Resource Planning), CRM (Customer
Relationship Management), PSA (Professional Services Automation), HRM (Human Resources
Management), project management, resource planning, business
intelligence, event tracking, issue tracking,
and processes. Supports Scrum, CMMI level 5, ISO
9001 and agile methods.
Automation
The Guide automates things that have never before been automated. Ie
the following tasks can be done better than ever before:
- Knowledge management without the need to all the time tell who can
what. The system augments automatically users knowledge base as they
use it. Knowledge of who can what is also efficiently used eg
when staffing projects.
- Know what You should do next. The system not only
tells what has already happened, and in real time what important tasks
people are doing just now, but also what should be done next. The
system knows how work should progress, what has been left undone, when
something should be done, and it can tell the next tasks without any
human entering them into the system! It may at first seem incredible
that any system could do this, but it can actually tell
professionals how they should do their specialist work.
- Measurement automation. Some project management systems
can already measure projects, but The Guide takes this much further:
Not only projects but also processes and humans are measured. Fully
automatically.
- Audit activities all the time. The auditing
professionals have up-to-date done quite routine work while inspecting
the activities in a company, and this work can now be automated.
- Communication in work communities. Know all the time
what for You important is happening (and what is not happening that
should happen). Without You drowning into unnecessary information.
Improves and enables working conditions in remote work, distributed
teams, shift work (e.g. a part of a team in a different time zone), and
between different stakeholders (like customers and subcontractors). It
creates social networks in work environments.
- Automate standard audits. Check all the time
that ISO 9001 and CMMI level 5 is followed.
Social Networks in work communities
Forums, Blogs and WiKis can be created. Chats, email
alerts, online change notifications, messages. Friend lists, groups, statuses...
- Important is both quality and amount of communication. The Guide
aids in both, both internal to the company and between different
stakeholders.
- Essential information always accessible to those that need it
- Automated feedback questions and answers
- Common formal questions and answers classification and recording,
searches, versifying
- Tight integration to email
- automatic reminders of tasks directly to email
- built-in WWW-interface to email
- email archive
- stores all emails
- creates message threads
- searches also from mail attachments
- with enough privileges You can also see other peoples mail, e.g. a
salesman can see all email communication with a customer
- if e.g. a salesman or a project manager is changed the follower can
see all communication already done
- Intranets and extranets
- If needed extranets can automatically be created
- ProjectWiki
- Also intranet-type groups or whole organization
- For customers and/or subcontractors
- PersonalWiki
- For each employer, only personal access
- Replaces tags and notepad files
- Always usable
- Information is not lost
- Forums and Blogs
- A change log shows what is currently happening
- Messages and chats
- Project communities, also according to company
organization
- Can also be used with mobile devices like iPad
and most mobile phones with a www-browser
Project Management with Scrum and CMMI
Everything is done in projects. A project can be e.g. organizing a
course, employing a person, and having an internal happening.

cases)
- Supports agile development methods
- Supports the Scrum method (e.g. sprints, backlogs, burn-down
pictures)
- Supports CMMI (up to level 5) and ISO 9001
BPM (Best Practices Management)
Best practices can refer to almost anything, e.g. files, processes,
people, and knowledge.
- Define Your own best practices
- Everybody can add and modify new best practices
- Always shown in context throughout The Guide
- Categorized and managed
- The best of the defined best practices can be
integrated into integral parts of processes
Time Tracking and Time Sheets

tools instead of a document collection unused in the intranet
Software development management software
Even if Your administrative routines are now done well, this system can
automate several of them, minimizing errors and improving also the
effectiveness of the administration.
All parts communicate seamingless with each other. Also
maintenance is easy, The Guide is a well productized Client-Server
system, and it can be maintained from one central point.
The Guide has
open interfaces and is easily integrated to other systems. It
is very configurable and it has an open interface by which You can
create Your own reports using a standard reporting language. If You
wish You can add Your own 'plug-ins'.
The user interface is based on
HTML and works in most common browsers, also in mobile devices, and
nothing needs to be installed on end-users computers. Performance is
good even with very large projects and with very big personnel
amounts. Usage of the system is extremely fast.
Security and reliability is a top priority. Even with a magnitude of features and standard
compliance, deployment, personnel training and configuration to own
needs is surprisingly easy and effortless. All features does not need
to be taken into use immediately, You can start with only a subset
and more features can later be taken into use.
The user interface is clear and intuitive, the software
is easy to use and adopt. All features are real-time, i.e. all changes
are visible to everybody immediately.
